The Viterbi School of Engineering Department of Aerospace and Mechanical Engineering is seeking a Student Services Advisor II to join its outstanding team of faculty, staff and students.u00c2u00a0 The incumbent oversees the Bachelor's, Masteru00e2??s, and Ph.D. programs with a student population totaling approximately 1,000. Responsible for the maintenance of student files/information, coordination of course offerings with FT and PT faculty, and oversight of PhD admissions and funding offers. Recruitment and Admission Responds to inquiries on admission and transfer coursework. Updates web information on procedures and requirements. Interacts with Admissions Office to follow-up on the review process. Attends recruitment events for prospective graduate students Oversees annual PhD Preview Day for admitted students Organizes visits of prospective PhD students Processes PhD applications and prepares files for faculty review and decision. Enters decisions and notifies admitted students. Updates faculty on new admissions and funding policies, procedures, and changes. Academic Advisement Provides academic advisement to current and prospective graduate and undergraduate students regarding Phd program. Guides PhD students in the choice of courses to meet graduation requirements; reviews STARS report with each student, recommends course substitutions, graduation, directed research, etc. Assists students in resolving academic problems; may refer them to appropriate faculty and office. Provides background information to faculty as needed. Monitors progress of targeted students. Provides current information via the web on registration information; makes updates to university catalogue and AME website. Assists with petition process and inputs graduation applications.u00c2u00a0 Updates faculty on new academic policies, procedures, and changes. Program-Related Activities Coordinates with faculty, DEN and Classroom Scheduling in the preparation pf the schedule of classes. Organizes annual AME Screening Exam under the guidance of assigned faculty. Advertises the exam, registers prospective examinees and responds to inquiries. Maintains faculty course evaluations once received at the end of each semester; follows-up on schedule, as needed. Coordinates with faculty and the Curriculum Office in submitting course syllabi for new courses, prepares materials/forms for Curriculum Committee meetings. Assists faculty with TA assignments. Plans and coordinated annual PhD Poster Competition. Assists with accreditation (ABET) process. Financial Aid Updates AME Financial Aid information on the AME website. Refers applicants to USC web for other fellowships and financial aid information. Prepares files and spreadsheet on fellowship applicants for faculty committee. Coordinates with the Graduate School and the GAPP (Graduate and Professional Programs) Office by providing information on fellowship candidates. Other Related Duties Assists students in organizing co-curricular activities. Attends student-related meetings and affairs. Supervises student affairs employees. Helps with on-boarding of new faculty hires. Assists with hiring and supervising student workers. Minimum Education: Bacheloru00e2??s degree Combined experience/education as substitute for minimum education Minimum Experience: 3 years Minimum Field of Expertise: Directly related experience in student services and programming with ability to lead.
